Check Out, Check In, and Transfer

Asset Manager tracks who has each asset and when it's due back. These three operations manage the full lifecycle of asset assignments.

Check Out

Checking out an asset assigns it to a person (the custodian).

  1. From the asset list, select one or more assets, then click Check Out in the toolbar. Alternatively, open an asset record and use the Check Out button.
  2. Fill in the check-out form:

  1. On the right side, scan or search for additional assets to add to the check-out list.
  2. Click Check Out to complete the operation.
Generate a receipt

Check the Show Receipt box before completing the check-out to generate a printable receipt documenting the transaction.

Check In

Checking in an asset returns it from its current custodian.

  1. From the asset list, select one or more checked-out assets, then click Check In.
  2. Fill in the check-in form:

  1. Scan or search for additional assets to add to the check-in list.
  2. Click Check In to complete the operation.

Transfer

A transfer moves assets from one custodian to another in a single step — effectively a combined check-in and check-out.

  1. From the asset list, select one or more assets, then choose Transfer (available when assets are currently checked out).
  2. The Current Custodian is shown on the left. Select the New Custodian on the right.
  3. Optionally update the Return Due Date, Status, Location, and Condition.
  4. Scan or search for additional assets to add to the transfer list.
  5. Click Transfer to complete the operation.

A transfer generates both a check-in receipt (from the original custodian) and a check-out receipt (to the new custodian) if the Show Receipt option is selected.

Using the Scanner

All three operations support barcode scanning. In the check-out, check-in, and transfer forms:

  • Scan a person's badge in the custodian field to quickly identify the person.
  • Scan an asset barcode in the asset search field to add it to the list.

You can also perform these operations directly from the barcode scanner on a mobile device.
