Editing Assets

Open any asset from the asset list to view and update its details. The asset record is organized into tabs.

Use the search or filters on the asset list to find the asset you want to edit.

General Tab

The General tab contains the core identifying information for the asset. See Adding Assets for a description of each field. To update a field, change its value and click Save in the toolbar.

Details Tab

The Details tab tracks the asset's current operational state:

StatusThe current status (e.g., Available, Checked Out, In Repair). Values are configured under Selection Fields
CustodianThe person currently responsible for this asset
Return Due DateWhen the asset is expected to be returned (if checked out)
LocationWhere the asset is physically located
Serial NumberThe manufacturer's serial number
ConditionThe physical condition (e.g., New, Good, Fair, Poor). Values are configured under Selection Fields
Date AuditedThe date of the last audit (read-only, updated by audit operations)
Include In AuditToggle whether this asset appears in audit checklists and reports
tip

For bulk assets, the Details tab shows a list of quantity batches instead of a single set of fields. Each batch has its own status, custodian, location, and condition.

Purchasing Tab

The Purchasing tab records financial and procurement information:

Date PurchasedWhen the asset was acquired
Purchase Order NumberThe associated PO number
Account CodeThe accounting code for this purchase
Warranty ExpirationWhen the manufacturer's warranty expires

For bulk assets, each quantity batch has its own purchasing details.

Service Tab

The Service tab manages scheduled maintenance and service history. See Service and Maintenance for details. This tab is only available for individual assets (not bulk).

Notes Tab

A rich text editor for free-form notes about the asset. Use this for anything that doesn't fit into the structured fields — installation instructions, special handling requirements, or context about the asset's history.

Files Tab

Attach documents, photos, manuals, certificates, or any other files to the asset record. Click New to upload a file. You can also drag and drop files into the upload area.

History Tab

A read-only timeline of every action taken on this asset — creation, edits, check-outs, check-ins, transfers, audits, and status changes. Each entry shows who made the change and when.
