Initial Setup for System Administrators
This guide covers the essential system-level configuration for a new Asset Manager implementation. Complete these steps before inviting your team.
Organization Settings
Configure your organization's profile so that reports, emails, and the interface reflect your branding and regional preferences.
Navigate to Admin > Organization Settings and set:
- Organization name — appears throughout the application and on exported reports.
- Logo — displayed in the navigation bar and printed reports.
- Time zone and date format — ensures all timestamps match your region.
User Setup
Create user accounts and assign the appropriate role to each person.
Navigate to Admin > Users to invite team members by email. Each user needs a role:
| Role | Access level |
|---|---|
| System Administrator | Full access to all settings, users, and data |
| Data Administrator | Can manage assets, people, vendors, and imports — but not system settings |
| Standard User | Can manage assets, people, and vendors |
| Read-Only | Can view and report on data but cannot make changes |
New users receive an email invitation with a link to set their password.
Security Settings
Configure system-wide security policies under Admin > Security Settings:
- Two-factor authentication — optionally require email-based 2FA for all users or specific roles.
- Session duration — control how long users stay signed in before re-authentication is required.
- Password policy — enforce minimum complexity requirements.
Email Templates
Customize the email notifications your team receives under Admin > Email Templates. You can adjust the content and formatting of messages sent for events like asset assignments and check-out reminders.
Custom Fields
If the built-in fields don't capture everything you need, create custom fields under Admin > Custom Fields. Custom fields can be scoped to specific asset categories so they only appear where relevant.
